Case Financial Tab (Case Fee Balances)
The case fees Balances view of the case Financial tab displays detailed information about the case fee balances for a specific party. By default, this view is displayed automatically when you click the appropriate case fines or fees link for the party or party name below the case fines or fees header, depending on how the Summary view of the Financial is displayed.
When you access the case fee Balances view of the Financial tab, case fee information is displayed in the following columns below the Balances header. A total is displayed at the bottom of each column. The columns displayed depend on the option you select in the Group By field.
Financial Tab Options
Option Description
Collections Officer A link on this page displays the name of the collections officer associated with the case party or the link displaying “No Active Collections Officer” is displayed. Use these links to maintain a collections officer for the case fees.
Group By Indicate whether you want to group by fee category or charge/offense.
Show Indirect Fees
If indirect fees have been added for the party, select this check box to include indirect fees in the list.
Collections Status A link on this page displays the collection status of the fee. If no collection status has been added, the link displays as “No Collection Status.” Click these links to enter collection statuses for the case fees.
If there is more than one collection status on the case, the link displays as “Multiple Collection Statuses.” Click to view the collection statuses on the case.
Financial Group Click to maintain the financial groups for a case party.
View Summary (ALT+V) If displayed, click to return to the Summary view of the Financial tab.
Print Detail (ALT+P) Click to display the case fee balance information in a printable format.
Balances Table
The information displayed in the Balances table depends on the option selected in the Group By drop-down list.
Column Description
Fee Category This column is displayed if you are viewing the financial information by fee category.
Fees are added in groups called fee schedules. The names of the fee schedules that have been assessed for the party are listed in this column in bold text.
Click Image to expand the list to show the individual fees within each fee schedule.
To view the recipient for a particular fee, pause the mouse pointer on the fee description. The Image icon is displayed if no recipient is selected for the fee.
Charge / Offense This column is displayed if you are viewing the financial information by charge/offense.
Each fee category and its related fees are grouped by the offense to which they were assessed.
Click Image to expand the list to show the fee schedules and fees within each charge or offense.
Charges This column lists the total amount that is assessed for each fee schedule. If the list is expanded to show individual fees, the amount of each fee is displayed.
Payments If payments have been made, the amount applied to each fee is listed in this column.
Credits If the party has received any credits, the amount of the credit is displayed beside the appropriate fee.
Balance The balance is calculated automatically (Charges minus Payments minus Credits) and displayed for each fee.
Disb(ursements) If a disbursement check was created to disburse funds to the appropriate recipient(s), the amount that is disbursed is displayed in this column.
Escrow If payments have been made that have not been disbursed, the amount that is still in escrow is calculated and displayed in this column.
Balances Table Options
Option Description
Image Click to add a financial note to the case.
Image Use this icon when viewing the case fee Transactions view of the Financial tab.
Add Pmt Plan / Edit Pmt Plan If the case does not have a payment plan, click Add Pmt Plan to add a payment plan for the selected party.
If the case has already been added to a payment plan, Edit Pmt Plan is displayed. The Edit Pmt Plan displays in green if there is an active plan on the case, and it is red if there is a history of payment plans but none of them are active. Click Edit Pmt Plan to view the payment plan history.
Image Click to select a document and print a financial form.
Edit Detail Click to edit fees that have been assessed for the party. This option is not available if you do not have the appropriate rights.
View Trans Click to access the Transactions view of the Financial tab.
Image (ALT+D) Click to create a single disbursement check. This option cannot be selected if there is no money in escrow to be disbursed.
Image (ALT+A) Click to post adjustments to the charges on the case. If there are no charges for the selected party, this icon is disabled.
Image (ALT+C) Click to assess fees for the selected party. This option can still be used to add charges even if the case fees have been added to a payment plan.
Image (ALT+Y) Click to post a payment for the selected party. If there are no fees with a balance, this icon is disabled.
Image (ALT+E) Click to post a credit on the account.
Image (ALT+R) Click to post a charge reduction on the account.
Payment Plan This link is displayed at the bottom of the Balance column if the case has already been added to a payment plan. Click to modify the payment plan.
Right-click Options
Right-click Option Description
Delete Right-click an assessed fee and select Delete to remove the assessed fee. Fees can only be deleted if there is no activity on them. If you entered a due date when you assessed a fee, the due date is also deleted when you delete the fee. You must provide a new due date for any newly assessed fees after you delete them.
Registry and miscellaneous assessment fees can not be deleted.
