Courtroom Minutes Fields
Complete the following fields to enter courtroom minutes.
Result
Click Defendant Info to modify the case party details. Click Add Journal (ALT+A) to make a journal entry.
Field Name Field Description
Type This is automatically entered from the hearing setting. If the hearing type is different from the original type specified, select that new hearing type here.
Result Select the hearing result from the list of available options. The results codes are maintained by your system administrator.
Parties Present Click Image to select the parties in attendance.
Pause the mouse pointer on this field to view the names of the parties present during the hearing.
Start Type the time when the hearing starts.
End Type the time when the hearing ends.
If both a Start time and End time exist and either of them is edited, the Dur value is calculated from those fields.
Dur Enter the duration of the hearing in this field. Enter the time followed by h for hours and m for minutes. Decimal values are used for hours.
For example, enter a 90-minute setting as 1.5h, 90m, 90, or 1h30m. A 30-minute setting is entered as 30m, 30, or .5h. For a two hour setting, enter 2h, 120m, or 120.
If hours or minutes are not specified, the system assumes that entry is in minutes (120=2 hours). The maximum duration allowed is 24 hours.
Use Dur in conjunction with the Start and End times. For example, enter a 1h30m duration, 8:30A for the Start time, and the End field is automatically completed with 10:00 a.m.
This field can be configured to be a required field. Contact your system administrator to enable this feature.
Comment Type notes or comments related to the record. Click Image for additional space. Click Image to check the spelling of the text entered.
Resources
Click Load (ALT+O) to add resources to the courtroom minutes. Any resources assigned at the court session are then automatically entered into courtroom minutes.
Use the drop-down lists in the Resources section to select a different named resource used during the hearing setting. Clicking Load again will not override a resource previously defined in courtroom minutes.
Resources types are defined by your system administrator and will vary from location to location. Resources are populated by what was entered from the court session.
Resources with a base resource type of “equipment” are not used in courtroom minutes.
Hearings
New hearing settings can be added during a courtroom minutes session. Existing settings may not be modified from courtroom minutes. Click Hearings (ALT+H) to search for available court sessions and add a hearing on the case.
Only hearings added, rescheduled, and canceled while in courtroom minutes are displayed. Courtroom minutes displays the hearing type in bold text, date, and start time. View and modify hearing settings scheduled though courtroom minutes by clicking a hearing setting displayed under the Hearings header.
Hearings other than the current one may not be resulted when accessing hearing information from within courtroom minutes.
Click Select to select the hearings to either cancel or reschedule all hearing settings on a case and not just those included within the courtroom minutes. This link is displayed only if there are unoccurred hearings on the case.
Cancel (ALT+N) displays only if there are future settings for the same hearing as the current courtroom minutes session. Click Cancel to cancel the hearing.
Right-click a hearing to delete, undelete, cancel, or restore the hearing.
Warrants
Click Warrants (ALT+W) to add a warrant from this hearing setting. When you click this link, you must select the party the warrant is issued for and complete the warrant details. The setting date and the judge is automatically entered on the warrant if there is a judge on the minutes. If there is no judge on the minutes, the judge on the court session is used. If there is no judge on the court session, the judge on the case is used.
After the warrant is saved, the party name is displayed in bold along with the type, status (active status displays in maroon), and status date.
Only warrants that are added during the session display. View and modify warrants by clicking the warrant displayed under the Warrants header.
Right-click a warrant to delete or undelete a warrant.
If there are outstanding warrants on the case, Image is displayed in the Warrants section. Additionally, a warning is displayed for any outstanding warrants on a case when you access the courtroom minutes. Existing warrants may not be modified from courtroom minutes.
To quash outstanding warrants, click Events (ALT+E), and enter a quash event for all outstanding warrants on the case. All outstanding warrants are automatically updated to an inactive status.
If outstanding warrants are not quashed during the minutes session, another warning message is displayed when saving the courtroom minutes, alerting that there are outstanding warrants remaining on the case. This warning is not displayed for warrants added through the courtroom minutes.
Bonds
Use the Bonds section to select a bond from the case to add to the courtroom minutes.
When you click Convert, you are prompted to select a registry account to convert.
Add Attorney
Click Add Attorney (ALT+D) to add an attorney to the case. When you select this option, you are prompted to select a case party to add as an attorney. If an attorney is marked as a lead attorney, Image is displayed beside the attorney's name.
Click Modify Attorney (ALT+M) to modify the case attorney details.
Interim Conditions
Interim conditions can be added during a courtroom minutes session . Existing conditions may not be modified from courtroom minutes.
Click Interim Conditions (ALT+C) to add interim conditions from this hearing setting. When you click this link, you must select the party the condition is issued for and complete the condition details. The setting date and the judge is automatically entered on the condition if there is a judge on the minutes. If there is no judge on the minutes, the judge on the court session is used. If there is no judge on the court session, the judge on the case is used.
Interim conditions display the party name associated with the condition in bold. Only interim conditions added during the hearing setting will display in the Courtroom Minutes dialog box.
Modify interim conditions added through the minutes by clicking on the condition displayed under the Interim Conditions header.
Click History (ALT+T) to view the interim conditions on the case.
Interim Conditions added thought courtroom minutes also display on the case Conditions tab.
Right-click a condition to delete or undelete it.
Exhibits
Use the Exhibits section to add new exhibits admitted during the hearing setting, select from existing exhibits to add to the courtroom minutes and modify existing exhibits. The exhibit ID, status, and status date is displayed for each exhibit in this section.
Click Select to select existing case exhibits.
Click Exhibits (ALT+I) to add exhibits to a case, and click an exhibit listed to modify case exhibits.
When you right-click and delete an exhibit, the exhibit remains associated with the case but not the hearing.
Events
Courtroom minutes displays the event type under the Events header. Delete events previously added through the Courtroom Minutes dialog box using right-click delete option even if you do not have the specific right to delete events.
New events can be added during a courtroom minutes session. Existing events may not be modified from courtroom minutes. click Events (ALT+E) to add a event on this case.
If an image is associated with an event linked to the minutes, Image is displayed beside the event. Click it to access the Odyssey image viewer.
Right-click an event to delete, undelete, or add a related service event.
Add Charge
Only charges added or amended while in the Courtroom Minutes dialog box are displayed in the Charges section. Additionally, the charge number, description, and whether the charge was added or amended displays in the charges section.
Click Add Charge (ALT+R) and select the party for the charge if there are multiple defendants on the case, and add the charge detail.
If there are already existing charges on the case, click Amend Charge (ALT+G) to amend the charge. If there are multiple charges on the case, select the charge.
Right-click a charge to delete or undelete it.
All/Plea/Disposition/Sentence
New disposition events (criminal pleas, dispositions, sentences, and orders; civil judgments) can be added during a courtroom minutes session. Existing disposition events may not be modified from courtroom minutes. Click one of the disposition event links to add a disposition event on this case.
For criminal cases, the Courtroom Minutes dialog box displays the charges and charge number on the case, pleas and plea dates, disposition and disposition dates, and sentence and sentence dates for disposition events added or amended while in courtroom minutes.
Sentencing Order provides criminal and juvenile delinquent defendants with a single document that lists all case information, including a detailed list of all the case’s current sentence events.
For civil cases, the Courtroom Minutes dialog box displays causes of action, and judgment type and date for judgments that are added or amended while in courtroom minutes.
Forms
Click Forms (ALT+F) to save the interim conditions and select the forms and documents to print.
