The following questions cover financial functionality available in Odyssey.
What are the differences between a calendar and schedule?
While calendars and resource schedules look the same, they are used for different purposes.
| Calendar |
Resource Schedule |
| Displays all the defined court sessions that have been defined, including a summary of what can be scheduled for the court
sessions.
|
Displays all commitments for available resources, included the time the resource is unavailable |
| Created and named by a person with appropriate access. |
Not created by a user, rather it is a virtual representation of everything that is scheduled for one resource. |
| Users with appropriate rights can schedule, remove, and copy court sessions. |
Users can schedule unavailable time but cannot add or remove court sessions. |
| May or may not have one or more resources associated with it. |
Has only one resource associated with it. |
What are court sessions?
Court sessions are blocks of time that define the nature of court business to be used for scheduling events. The setup for
a court session defines when the session takes place, which case categories and hearing types can be heard during that time,
how the hearings proceed, and the capacity limit for the session (e.g., number of hearings). It is associated with specific
resources (e.g., specific location, court officials).
What is the relationship between the resources on a calendar and those on a court session?
The resources associated with a calendar are automatically added to any court sessions on that calendar. Resources are associated
with the calendar's code. Calendar codes are maintained by your system administrator.
Resources can also be assigned to sessions when the court session is created or modified. That resource may be required before
the session can take place.
What is the difference between the Calendar and Preferences options?
Use Preferences (ALT+P) to choose how you want your calendar displayed each time you access it. Calendar (ALT+C) is used to view a different calendar during your current Odyssey session without changing your preferences.
What does it mean if a session block says "Multiple Sessions”?
If there are overlapping sessions on a calendar, a "Multiple Sessions" box is displayed in the time slots. Click it to view
the scheduled times and other information for the different sessions. Clicking one of the sessions in the pop-up takes you
to the
session view.
Why are the dates shown out of order on the calendar or resource schedule?
If you
selected to view multiple dates from the calendar, the dates are displayed in the order you selected them. For example, if you held down CTRL and clicked
May 5, 10, 7, and 17, the dates are displayed in that order.
Why do I have unavailable time scheduled on a calendar?
An unavailable resource can be set up to block out holidays and other system-wide unavailability. This unavailability is reflected
on all calendars in the system. Users with appropriate rights can override this unavailability locally and add court sessions
during the unavailable time.
On the Modify Court Sessions dialog box, why is the court session Date and the Modify All Sessions in Recurrence check box
disabled (appear grayed-out)?
These fields are disabled because of the following reasons:
|
• |
The first court session listed in the recurrence series cannot be made into an exception. |
|
• |
A change was made to the recurrence frequency information after clicking the icon. When the Modify Recurrence dialog box is accessed, Odyssey automatically assumes updates will be made to all session instances. |
To change the date of a single court session instance, use the Date field on the Modify Court Session dialog box.
Why can I add additional recurrence occurrences but not reduce them?
Additional recurring session occurrences can be added (e.g., End after: n occurrences). However, the number of occurrences may not be decreased. Odyssey has no way of knowing which sessions the user would like
to eliminate. Additionally, Odyssey does not allow court sessions to be eliminated if hearings are scheduled in the court
sessions. This includes if hearings have been rescheduled because the scheduling history must be kept.
How do I remove a resource type from a session?
After you have added a resource type to the Select Court Session Resources dialog box, right-click a row containing a resource type that was added to the session and select Delete. You cannot delete the resource types added from the hearing type.
Is an interpreter considered a resource on a court session?
Interpreters are not considered resources on a court session. They are codes in Odyssey that are maintained by your system
administrator.
Interpreters are assigned to individual hearing and not to a court session. Specific hearing types can require an interpreter,
but they cannot be assigned as a resource to a court session.
How do I remove unavailable time from a schedule?
Remove unavailable time from a resource schedule by right-clicking the unavailable time and selecting Delete Unavailable Time.
Can I delete case files from the move multiple case files list?
If the Volumes to be Moved list contains a case file that should not be moved, right-click that row and select Delete. The case file is removed from the list.
Why can I not add a case to the move multiple case files list?
A case can only be added to the list if it has a case file history, meaning at least one case file location is added using
the case Detail tab.
If a location has not been set for a case, it cannot be moved from the Move Multiple Case Files page.
What are the differences between hearings, settings, and sessions?
Hearings, settings, and sessions are all used in scheduling. A hearing consists of one or more settings, and each setting
is scheduled within a court session on a calendar.
A hearing is a calendared event that includes proceedings in which arguments, witnesses, or evidence is heard by a judicial
officer or administrative body including court events, such as trials and motion hearings. Hearings also include conferences
aimed at pre-trial settlement or quasi-judicial events involving alternate dispute resolution.
A setting is a part of the hearing and is usually individual days or scheduled meetings for the hearing. A hearing can have
multiple settings.
A court session is a block of time defining the nature of court business to be used for scheduling hearings and events. Each
court session belongs to a calendar and can have one or more hearing settings. Each calendar can have many court sessions.
Why do I not have

next to any times when selecting a time for a hearing setting?
There are several reasons why

may not be displayed on the
Select Time dialog box.
|
• |
If an available time is currently selected, it is highlighted in green, and is not displayed next to that time. |
|
• |
When the hearings start at the same time and the limit for the session is based on duration, you must complete Duration (ALT+D) and not select a specific time. |
|
• |
The icon is not displayed if all of the available times are selected or the setting's duration fills the entire session. |
Can I schedule over another setting?
With the appropriate rights, schedule a setting at the same time as another one or enter a setting that makes the session
go over capacity. In some cases, such as when the settings start at the same time and the limit for the session is based on
duration or multiple settings are allowed in an interval, the session lets you schedule several settings for the same time.
What is the difference between a note and a comment on a hearing?
When you enter a secure note, you are the only person who has access to those notes. Notes are different for each user who
accesses the hearing.
Comments entered are available to anyone who accesses the hearing and are displayed in the Events & Hearings section of the case Summary tab.
Why can I not cancel a setting?
You cannot cancel a setting if there is only one setting on the hearing. To cancel the setting,
reschedule the setting or
delete the hearing. You can also click

to add another setting. After there is more than one setting, click

to cancel a setting.
You also cannot cancel a setting if
courtroom minutes have been entered for that setting. If there are results on the setting, you can delete the results, and then
cancel the setting.
Why is the minutes icon highlighted in green

?
The green minutes icon

denotes that courtroom minutes results have already been entered on this hearing setting. Click to display the
courtroom minutes entered for the setting.
Why are the minutes icon showing a lock on them?
If the minutes for a setting contain at least one journal entry is marked as non-viewable, a green

is displayed for the setting on the
Modify Hearings dialog box. The blue

is displayed beside a setting where at least one journal entry is marked as non-viewable and is flagged for follow-up.
What are the differences between canceling and rescheduling settings?
You have the option to cancel or reschedule hearing settings:
|
• |
Cancel a setting if a conflict arises where it cannot be held. A reason for canceling the hearing will need to be entered. |
What is the difference between canceling a setting and deleting a hearing?
Canceling a setting removes just that individual setting instead of the whole hearing.
Deleting a hearing cancels all of the settings for that hearing.
How do I know a judgment has been validated successfully?
When a judgment has been successfully validated, the proofed date appears on the judgment component.
