Court Administration Codes
Court administration codes include the setup for calendars, resource schedules, and hearings.
Before configuring the code behaviors, you must complete the basic code setup, including the code description and the dates on which the code becomes effective and obsolete. After completing the static fields, you must then complete the fields specified on each individual code.
Code Description Code Fields
Automated Electronic File Reject Reasons Indicates reasons that an electronic file would be sent back to its source. Transaction Types – Click Image to select the transaction types that this file reject reason is available.
Calendar Indicates the calendars and associated court sessions to be used to schedule hearings. Calendar Code Fields
Calendar Groups Indicates the groups to which court sessions can be associated. Calendar Group Code Fields
Court Equipment Indicates the equipment that can be used in a court session.
You must first set up at least one resource type with the base resource type of "equipment." Then, create codes for the court equipment of the "equipment" resource type.
Case Categories – Click Image to select the case categories in which this code should be available.
Equipment Type – From the drop-down list, select the equipment type to which this piece of equipment should belong.
Make Schedule Private – Select this check box to make the schedule for this piece of equipment private.
Set List of Users – Click this button to select a set of users who have the ability to view the schedule for this resource if it has been made private.
After adding users, the Available to Users table is displayed. On this table, select the check box corresponding to the options you want to make available to the user. Your options include View, Schedule, Maintain, and Override.
You can add additional users by clicking Image and selecting the users.
Court Reporter Indicates the court reporters that can be used in a court session.
You must first set up at least one resource type with the base resource type of "court reporter." Then, create codes for the court reporter of the "court reporter" resource type.
Case Categories – Click Image to select the case categories in which this code should be available.
Court Reporter Details – Add the details related to the court reporter, including court reporter type, name and contact information.
Make Schedule Private – Select this check box to make the schedule for this reporter private.
Set List of Users – Click this button to select a set of users who have the ability to view the schedule for this resource if has been made private.

Court Staff Indicates the court staff that can be used in a court session.
You must first set up at least one resource type with the base resource type of "court staff." Then, create codes for the court staff of the "court staff" resource type.
Case Categories – Click Image to select the case categories in which this code should be available.
Court Staff Details – Add the details related to the court staff member, including court reporter type, name and contact information.
Make Schedule Private – Select this check box to make the schedule for this court staff member private.
Set List of Users – Click this button to select a set of users who have the ability to view the schedule for this resource if has been made private.

Hearing Locations Indicates the locations that can be used for hearings.
You must first set up at least one resource type with the base resource type of "location." Then, create codes for the hearing locations of the "location" resource type.
Case Categories – Click Image to select the case categories in which this code should be available.
Location Type – From the drop-down list, select the location type for this location.
Address – Type the address and contact information for this location.
Make Schedule Private – Select this check box to make the schedule for this court staff member private.
Set List of Users – Click this button to select a set of users who have the ability to view the schedule for this resource if has been made private.
After adding users, the Available to Users table is displayed. On this table, select the check box corresponding to the options you want to make available to the user. Your options include View, Schedule, Maintain, and Override.
You can add additional users by clicking Image and selecting the users.
Hearing Notice Setup Indicates which parties or participants and their attorneys receive notice forms when hearings are scheduled.  
Hearing Session Type Indicates types of sessions on a calendar.  
Interpreters Indicates the contact information and languages for interpreters who can be scheduled for each hearing. Name and Language – Add the interpreter's name. Then, from the Languages field, click Image to select the languages with which the interpreter can assist.
Phone and E-mail – Add contact information for this interpreter and any additional comments.
Address – Add the address for the interpreter.
Judge Assignment Configuration Indicates the pools (or sets) of judicial officers who can be associated with case types so that judicial officers can be automatically assigned to cases. Assignment Type – From the drop-down list, select either an Alpha or Numeric assignment type for this configuration.
Increment/Decrement Current on Manual Assign/Reassign – Select this check box to have the judge assignment count decrement or increment when the case is manually assigned or reassigned.
Assign Cases in the Specified Order – Select this check box to assign the cases in a specific order by judicial officer. Once this check box has been selected, the Reorder button is available. Click Reorder to arrange the order of the judicial officer assignments.
The order of the judicial officer assignments is displayed in the table at the bottom portion of the dialog box.
Override Location Reassignment – Select this check box to override any location reassignment settings for this judge wheel.
Reset – Click Reset to reset any selections that have been made.
Judicial Officer Table – This table contains the judicial officer's name, his or her total case count (Count), the percentage of cases the judicial officer has in comparison to the other judicial officers in the assignment configuration (% Total), and the current number of cases assigned to the judicial officer (Current).
Click Image to add a judicial officer to the judge assignment configuration or judicial pool.
Judge Pool Path Indicates the starting judge pool that is used to add a hearing and the next steps for the next location and judge pool to be used in a hearing if a hearing time cannot be found in the starting pool path. Case Categories – Click Image to select the case categories in which this code should be available.
Starting Pool – From the drop-down list, select the first pool path to search when looking for hearing availability.
Add – Select this option to add a starting pool for this pool path.
Restore – Select this option to restore old pool path settings.
Judge Path Steps – This table displays the locations in which the judge pool searches for a hearing.
Judicial Officers Indicates the judicial officers available for court sessions, judge pools, and other areas.
You must first set up at least one resource type with the base resource type of "judicial officer." Then, create codes for the judicial officers of the "judicial officer" resource type.
Judicial Officer/Magistrate Code Fields
Litigation Control Orders Indicates the setup of the litigation controls orders' timelines. Available for Case Flags – Click Image to add the case flags to which the litigation control order should be made available.
Use for Cases with no LCO flag – Select this check box to make the litigation control order available for cases with no LCO flag. Only one LCO configuration can have this control selected.
Available for Case Types – Click Image to add the case types to which the litigation control order should be made available.
Litigation Control Order Form – Click Image to select the form template to use for the litigation control order.
Data Deadlines Table – This table displays the data for the offset for the trial.
The Activity/Hearing column displays the hearings or activities for which there is a date deadline.
The Offset in Days column displays the number of days ahead of a response date there should be for hearings, or the number of days prior to the trial or hearing date for items that are not hearings. Click in the Offset in Days column and type the number of days needed for the offset of the activity or hearing.
The Additional Action column is used to add and display additional actions to be taken on this litigation control order. Click Image to modify a hearing configuration or an event configuration.
Magistrate Assignment Configuration Indicates configurations for pools (or wheels) of magistrates to be associated to case types so magistrates can be automatically assigned to cases. Assignment Type – From the drop-down list, select either an Alpha or Numeric assignment type for this configuration.
Increment/Decrement Current on Manual Assign/Reassign – Select this check box to have the magistrate assignment count decrement or increment when the case is manually assigned or reassigned.

Click Image to add a judicial officer to the judge assignment configuration, or judicial pool.
Magistrates Indicates the magistrates available for court sessions, judge pools, and other areas.
You must first set up at least one resource type with the base resource type of "magistrates." Then, create codes for the magistrates of the "magistrate" resource type.

Notice Setup Indicates how parties or participants and their attorneys receive notice forms. This function can also be used in List Manager. Hearing Notice Setup Codes Fields
On Deck Court Session File Path Indicates the path for the location where the scheduled hearing file from the On Deck Court Session dialog box is located to be displayed on TV monitors. File Path – Type the file path to which the On Deck Court Session should be sent.
Display to TV Limit – Type the maximum number of TVs to which this file path is used.
Resource Types Indicates the types of resources that are to be used for scheduling purposes, such as judicial officers, locations, and equipment. Resource Type Code Fields
Unavailability Resource Indicates the unavailability resource. Base Resource Types – From the drop-down list, select the base resource type for the resource being added.
