Role Maintenance
Users are permitted to perform tasks at certain locations based on the roles that are assigned to them. Roles are made up of specific rights. When a role is assigned to a user, all the rights that are associated with the role are assigned to the user. Roles are created and then assigned to users as needed.
The following options are available on the Maintain Roles page.
Option Description
Current Location If you have access to multiple locations, you are required to select a location before maintaining roles. This page lists all the global roles and any local roles that have been added for the selected location.
To view roles that have been added for a different location, click Image to select a different location. A location can only be selected if you have the right to modify roles at that location.
Previous (ALT+P) / Next (ALT+N) If there are multiple pages of roles, click Next (ALT+N) to go to the next page and Previous (ALT+P) to go back to the previous page.
Search (ALT+S) To search for a specific role, complete the Keyword(s) field and click Search (ALT+S) to search for matching role names.
If you enter multiple keywords and select Find ALL keywords, the system searches for role names that contain all the keywords you enter.
If you select Find ANY keywords, the system searches for role names that contain any of the words you enter.
Once you perform a search (e.g., search for cashiers), the list is filtered to display only roles that match the keyword. If you perform another search (e.g., search for supervisors), the system only searches for matches within the currently displayed list (e.g., cashiers who are supervisors).
To search through the complete role list, click Get All Roles (ALT+R) before performing your search.
Get All Roles (ALT+G) If you are viewing a subset of roles, click this link to view the complete role list. If all of the roles are shown in the list, “All Roles Selected” is displayed in the upper-right corner of the Maintain Roles page.
All Local Roles Select this check box to view local roles for all locations.
Show Once a list of roles is displayed, indicate whether you want to view local roles, global roles, or all roles from the Show menu. You can also view roles that have been made obsolete by selecting the Show Obsolete Roles check box.
Matches Per Page Use this drop-down list to indicate how many roles should be displayed on the page at a time by selecting 15, 20, 25, or 50 matches per page.
Show Obsolete Roles To view roles that are obsolete, select this check box on the Maintain Roles page. Obsolete roles are shown marked out, and they cannot be assigned to users.
Add Global Role Click this link to add a global role for Odyssey. Global roles can be assigned to users at all locations. When prompted, type a role name, and then complete the role fields.
Add Local Role Click this link to add a local role that can only be assigned at a specific location. When prompted, type a role name, and then complete the role fields.
Modify Role Click a role to modify the fields for that role.

Add New Global Role If you have the right to add global roles, this option is available in the right-click menu. Select this option to add a global role for Odyssey. Global roles can be assigned to users at all locations. When prompted, type a role name, and then complete the role fields.
Copy to New Global Role If you have the right to add global roles, this option is available in the right-click menu. Select this option to copy any existing global or local role to create a global role.
When you select this option, type a role name, and then make changes to the role fields as necessary.
Add New Local Role If you have the right to add local roles at the selected location, this option is available in the right-click menu. Select this option to add a local role that can only be assigned at a specific location. When prompted, type a role name, and then complete the role fields.
Copy to New Local Role If you have the right to add local roles at the selected location, this option is available in the right-click menu. Select this option to copy any existing global or local role to create a local role.
When you select this option, type a role name, and then make changes to the role fields as necessary.
Modify Role If you have the ability to modify the selected role, this option is displayed in the right-click menu. Select this option to modify the fields for that role..
Obsolete Today If you have the right to modify the selected role, this option is displayed in the right-click menu. Select this option to make the role obsolete as of the current date. Obsolete roles cannot be assigned to users.
