Court Session Fields
Complete the following fields to maintain court session details.
Session Details
Field Name Field Description
Session Name Type the name to assign this session.
Image Click to complete the recurrence fields. Recurrence allows the court to setup a judge's calendar or particular hearing type calendar on a perpetual schedule.
For example, Judge Smith holds arraignment hearings every Tuesday at 8:00 a.m.
Modify All Sessions in Recurrence This check box is displayed when a recurrence schedule is set on a court session. Select to copy any changes made on the Modify Court Session dialog box to all session occurrences in the series. Clear the check box to update any changes only on the session accessed.
Date Enter the date when you want the court session scheduled.
Start Time Type the time when the session starts.
End Time Type the time when the session ends.
If you are modifying a court session, the new duration must equal the current duration of the court session.
Case Categories Type the case category codes to include in the activity. Separate each code with a comma or semicolon. Type All to include all available codes. Click Image or press F4 to search for and select multiple codes.
Hearing Groups Type the hearing group codes to include in the activity. Separate each code with a comma or semicolon. Type All to include all available codes. Click Image or press F4 to search for and select multiple codes.
If you select a hearing group, you do not need to select a hearing type.
Hearing Types Type the hearing type codes to include in the activity. Separate each code with a comma or semicolon. Type All to include all available codes. Click Image or press F4 to search for and select multiple codes.
You can only enter up to 20 hearing type codes. If you want to enter more than 20 hearing types for a court session, you should create a hearing group code that includes all of the necessary hearing types.
Resources Click Image to select the court session resources.
Session Type Use the drop-down list to select which type of session you are adding.
Maximum n Hearings Per Attorney Type the maximum number of hearings a lead attorney can have for a specified session. If you do not want to set a maximum limit, leave this field blank. An error is displayed when you try to add hearings for the same lead attorney that exceed the maximum number.
Display Defendant Count Select to display the defendant count on a court session. This feature is configurable. Contact your system administrator or Client Support to enable this option.
Display Additional Offense Info Select to display additional offense information such as jurisdiction, officer, and agency. Additional offense information is displayed on the court session under the case number.
Multiple Hearings for Same Case Select one of the following options that determine how multiple hearings of the same case are handled in the court session:
•  Select Allowto proceed with adding the case hearing to the session.
•  If you want a warning displayed, select Notify If.
•  Select Prevent to not allow hearings for the same case to be added to the court session.
Capacity Details

Hearings Start At Select whether the hearings for the session will start at the same time, regular intervals, or different times.
•  Select Different Times if you want the hearings to begin at different times depending on the duration of the hearings.
•  Select Regular Intervals if you want hearings scheduled at intermittent times throughout the session (e.g., every 15 or 30 minutes).
•  Select Same Time if you want all of the hearings to begin at a specified time and proceed in a predetermined order (e.g., the first ones that show up will have the first hearings). These hearings can be reordered at any time.
Intervals If you selected Regular Intervals in the Hearings Start At field, type how much time you want to allow between start times. This amount should be entered in minutes (e.g., enter 60 for one hour).
The length of an interval must divide evenly into the duration of the interval. For example, 10, 15, 20, 30, and 60 minutes are acceptable lengths for intervals when working with a two-hour session, but 45 minutes is not an appropriate length.
Limit Based On Select how you want to determine capacity for the session.
If hearings start at the same time, select Quantity to have the number of hearings be your limit (e.g., 15 hearings).
If you want to schedule as many hearings as you can hold during the Start Time and End Time for the court session, select Duration.
You also have the option to choose Quantity or Duration, which will mark the session at capacity by whichever limit is reached first.
If hearings start at different times, the limit is automatically based on duration. If hearings start at regular intervals, the limit is automatically based on quantity.
Intervals Type how frequently in minutes the hearings should start.
# of Hearings If you select Quantity or Quantity or Duration in the Limit Based On field, type the number of hearings that are capacity for the session.
If hearings start at Regular Intervals, this determines the number of hearings for each interval and not the entire session.
Overbook Limit Use this field to set an overbook limit. This allows any user to overbook a session up to the limit entered.
Sort Order Select how the hearings in the court session will be organized. The hearings in the court session are, essentially, renumbered. This field is available when Hearings Start At is Same Time and Limit Based On is Quantity.
Ignore Duplicate Cases Select to ignore multiple hearings on a single case when adding hearings to a session. This feature allows cases to only have one hearing scheduled.
Allow Close Prior to Capacity Select to be able to mark a session as closed before it reaches capacity from the Court Session page.
