User-defined Number Format Selection
User-defined number formatting is available on various number format codes or when the User-Defined Format option is selected for the number format codes used on the Modify Type Number/ID Formats dialog box. This function lets you select the format of the case, charge, or bond numbers generated in Odyssey.
The two sections on the Modify a Type Number/ID Format dialog box allow you to select the type of information to be included in the case or bond number and the order in which to display that information.
The display order is the same for all users; it cannot be customized individually for each user. After you customize the display order on the Modify Type Number/ID Formats dialog box, the display remains the same until you or another user changes it.
Available Fields
The Available Fields section lists all of the items that can be added to the number format. Click the item you want to add, and click Add to add it to the Show these fields in this order section.
If you select Custom Text, an Enter Custom Text box displays under the Add and Remove buttons. Type the text that you want to be displayed as part of the case number. You can enter anything in this box except for a space or a double quote ("). After you have entered your custom text, click Add to insert that text as part of your case number format. You might use this option to divide components of the case number format. Since spaces are not allowed, you can enter a dash (-) as custom text to break up parts of the number (for example, CV-A-YR-ID).
Show These Fields in This Order
The Show these fields in this order section displays the items that have been added to the number format. Select a field in this section, and click Move Left or Move Right to move the data field to the place you want it to be displayed when case or bond numbers are created.
To remove a data field from this section, select the data field, and then click Remove. This places the data field back in the list in the Available Fields section.
A number format can be no longer than 30 characters, so the system provides a way for you to estimate the number of characters used in a number format. The system assumes that up to five characters may be used for the case type, court unit, and office tokens. Four digits are used for the year, and eight are used for the ID number.
As you add components to the format, the estimated character count is displayed under the Move Left and Move Right buttons to give you an estimate of how many characters might be used to create a number with this format. The number is only an estimate because you may not choose to use the maximum number of characters allotted for each field. For example, you may only use two characters to represent the case type instead of five.
If the estimated character count becomes greater than 30, you receive an error message and you can remove components of the case number format.
