After a deposit is closed, the deposit information can then be exported to your financial software system (e.g., QuickBooks,
Excel, Quicken). Only payment deposit activities such as payments and payment adjustment transactions (e.g., payments, void
payments, reversals, adjustments) are exported to the general ledger. Financial activities that are not payments (e.g., disbursements,
credits, charges, and escrow balances) are not exported to the general ledger software. Deposit information can be exported
on multiple occasions. For example, you can reopen a closed deposit that is exported, make changes, and then export the deposit
again.
To export a deposit:
|
2. |
Click Export in the Deposit Detail header. |
The export is sent to the job queue and the
Status field for the deposit contains “Pending Export.”
Odyssey totals the individual payment and adjustment amounts for every fee code for the tills selected in each deposit. Payments,
voids of payments, reversals of payments, and any adjustments that affect the payment column are included. Escrow amounts
are not included because they are related to disbursements.
Each fee code has its own general ledger account number. These fee code totals are exported to the general ledger system,
where the totals will be posted to the appropriate general ledger accounts. Individual fee payment and adjustment amounts
are not exported. The general ledger only stores fee code totals. Fee code transaction detail is only maintained and viewable
within Odyssey.
The summary totals for the fee codes associated with the deposit that is exported into the general ledger should match the
deposit analysis, without the over and short amounts. These totals should also match the fee code totals on the
receipt journal report.
